Residential Leasing Administrator

Responsibilities:

  • Research and provide project-based analytics
  • Oversees property management database and completes updates as necessary
    • Compile, enter, and revise all data entries in Yardi
    • Complete payment processing setup
    • Advertise available suites on RentCafe
    • Update website information to reflect changes on Yardi and RentCafe
  • Create, maintain and track tenant, service contracts and assorted information in database(s), both electronic and physical files in a timely and accurate manner
    • Record information for the amenities, apartments, and floor plans
    • Ensure proper logos are used and presented professionally
    • Review property photos
    • Ensure all operating hours are updated for each building
    • Post updated pet policies
    • Assist with lease documentation
    • Digitally map unit floor plans
  • Sort and process correspondence and invoices to Purchase Orders for Manager approval and/or handling
  • Communicate and collaborate with various departments to ensure proper administration and coordination of property information
  • Provide administrative support for the Residential Property Managers with tenant management
  • Complete general office duties as required including, faxing, mail, filing and other required administrative duties
  • Handle inquiries, feedback, complaints, or concerns with the objective of providing quality customer service and improved Landlord-Tenant relationships with professionalism and courtesy
  • Respond to information requests and performs routine functions under the direction of the Manager, Residential Properties
  • Maintain FOB system for applicable buildings (Keyscan).
  • Provide reception coverage on an as-needed basis (i.e. Vacation, sick days, emergencies).
  • Other duties as assigned

 

Qualifications:

  • Post-secondary diploma or degree in related discipline
  • A minimum of three (3) years’ experience in customer service and/or an administrative role. Residential property management experience, RentCafe CRM, and Yardi would be an asset.
  • Some knowledge/understanding of the Residential Tenancy Act
  • Able to provide outstanding customer and tenant service
  • A keen interest in refining and improving property management/administration skills
  • Ability to work in a fast-paced work environment
  • Excellent communication skills, both written and verbal
  • Excellent organizational skills with the ability to complete tasks efficiently and in a time sensitive manner to meet deadlines/cut-off periods
  • Sensitive to matters of confidentiality
  • Ability to work independently and cohesively as a member of a team and with all levels of staff
  • Proficient with Microsoft Office (Word, Excel) and good working knowledge of computer software and most office equipment; Yardi experience an asset with excellent, accurate typing and word processing skills
