Reporting to the Director, Residential Properties, this position will assist and support in the administration and management of residential properties in BC and AB.
Work Schedule
This full-time position is located in office downtown Vancouver and generally works eight-hour days, Monday through Friday.
Responsibilities:
- Provide administrative support for the Residential Property Managers with tenant management.
- Prepare all documentation related to the rental, maintenance and construction activities of the portfolio in conjunction with Managers.
- Research and provide project based analytics.
- Prepare and provide daily residential occupancy/vacancy reports, including move-ins, move-outs, rent increase notices, eviction orders, and abandonments through daily follow-up/interaction with Residential Caretakers.
- Create, maintain and track tenant, service contracts and assorted information in database(s), both electronic and physical files in a timely and accurate manner.
- Maintain tenant contact information and preparation of Notices to Tenants as necessary.
- Process and code invoices through Yardi.
- Generate Residential Purchase Orders as required.
- Dispatch of service providers in connection with Purchase Orders.
- Prepare quotation packages, forwarding and reviewing received quotes with Managers.
- Sort and process correspondence and invoices to Purchase Orders for Manager approval and/or handling.
- Assist Managers or Project Managers in the coordination/scheduling of maintenance and repair activities in connection with the property portfolio.
- Participate in the annual budgeting process for Operating Expenses and Capital Expenditure programs.
- Provide credit searches (e.g. Equifax and TransUnion).
- Communicate and collaborate with various departments to ensure proper administration and coordination of property information.
- Complete general office duties as required including, faxing, mail, filing and other required administrative duties.
- Handle inquiries, feedback, complaints or concerns with the objective of providing quality customer service and improved Landlord-Tenant relationships with professionalism and courtesy.
- Respond to information requests and performs routine functions under the direction of the Manager.
- Maintain FOB system for applicable buildings (Keyscan).
- Provide reception coverage on an as-needed basis (i.e. Vacation, sick days, emergencies).
- Other duties as assigned by Management.
Qualifications:
- Education: Post-secondary diploma or degree in related discipline
- Experience: A minimum of three (3) years’ experience in customer service and/or an administrative role. Residential property management experience and Yardi would be an asset.
- Familiarity with website design and graphics would be an asset
- Some knowledge/understanding of the Residential Tenancy Act
- Able to provide outstanding customer and tenant service
- A keen interest in refining and improving property management/administration skills
- Ability to work in a fast-paced work environment
- Excellent communication skills, both written and verbal
- Excellent organizational skills with the ability to complete tasks efficiently and in a time sensitive manner to meet deadlines/cut-off periods
- Sensitive to matters of confidentiality
- Ability to work independently and cohesively as a member of a team and with all levels of staff
- Computer Skills: Proficient with Microsoft Office (Word, Excel) and good working knowledge of computer software and most office equipment; Yardi experience an asset with excellent, accurate typing and word processing skills
