Marketing & Sales Coordinator (On-Site)

Reporting to the VP, Marketing & Sales, this role is responsible for day-to-day coordination of marketing and sales initiatives including collaboration with outside marketing consultants and enhancing social media. The ideal candidate has strong interpersonal and relationship building skills, is organized with an eye for detail, strong communication, and experience in administration, sales and/or marketing.
• Coordinate major marketing initiatives, which requires collaboration with marketing agencies in areas such as creative development, digital marketing, and communications.
• Coordinate and attend project meetings to take meeting minutes and gather requirements.
• Review consultant contracts to understand full scope of work required and track performance to ensure successful completion of activities.
• Analyze web and marketing content regularly to improve performance indicators and user experience.
• Help to coordinate project launches or special sales campaigns; aid in selecting a sales facility, preparation of marketing & ID drawings and production of marketing collateral and signage schematics.
• Ensure the Presentation Centre is merchandised appropriately, and materials are up to date as well as an appropriate amount of inventory is on hand at all times i.e., office supplies and refreshments for customers.
• Prepare and record department invoices for payment.
• Track and monitor costs against project budget.
• Assist in preparing reports, presentations, memorandums, proposals as required.
• Assist in the Homeowner Experience at time of project completion with homeowner manuals, key turnovers, homeowner gifts, and parking and locker allocation.
• Organize and catalogue inventory of show home furniture and presentation centre supplies in storage.
• Answer all marketing and sales related calls (purchaser, broker, trade inquiries).
• Perform general clerical duties to include but not limited to photocopying, faxing, mailing, scanning, and filing.
• Other duties as assigned.
• Report on current market data, industry related news releases, and new sales launches.
• Produce competitive market analysis (CMA) to help inform revenue analysis studies, product development and production of marketing collateral.
• Visit competitor sales facilities to obtain sales materials when required.
• Ensure customer relationship management (CRM) system captures up to date purchaser information to ensure email campaigns are successful in reaching the target audience(s).
• Maintain real estate research and market intelligence databases by project/submarket on company server.
• Facilitate tracking and execution of realtor agreements based on set approval criteria.
• Ensure purchaser deposits and mortgage pre-approvals are received prior to commissions being advanced.
• Prepare sales tracking reports when required.
• Ensure all sales agreements, amendments, cheque/ID photocopies, co-op agreements, assignments are saved on the company serve.
• Other duties as assigned.
• Education: University degree or diploma in, marketing or related subject.
• Experience: 1-3 years of administrative, sales/marketing experience.
• Keen focus on producing accurate and high caliber work.
• Exceptional interpersonal skills.
• Adaptable, detail oriented and organized.
• Advanced proficiency in spelling, punctuation, and grammar.
• Able to effectively collaborate with all levels of the business and develop/sustain cooperative working relationships with internal staff, vendors, and external contacts.
• Able to adapt to different communication styles.
• Resourceful with strong problem-solving skills.
• Able to communicate effectively, both oral and written.
• Demonstrate good problem-solving skills.
• Excellent time management skills, able to meet deadlines and cut-offs.
• Computer Skills: Strong knowledge of the Microsoft Office Suite including MS Project. Proficient at social media including twitter, Instagram, etc.
