We are looking for a dynamic individual with an eye for detail and high service level standards to join the construction team. This position is responsible to assist the development team.
Position Responsibilities
- Assist Development Team in researching and analyzing potential development opportunities.
- Assist the Development Managers in plan reviews and design document reviews.
- Assist preparation of design document and permit application submittals as required by government jurisdictions, i.e. filling out Development and Rezoning Application Forms, checklists, etc.
- Assist the Development Managers on responding to comments on submittals.
- Assist with monitoring development schedule timelines and maintain updates for Project Team.
- Monitor Project Team assignments and task completion; e.g. Project Control action items.
- Support and implement the company’s systems, policies and procedures to enable the Project Team to work effectively.
- Assist with the design and development of Power Point presentations as required.
- Conduct marketing research as required to evaluate competition and market pricing.
- Keeping abreast and knowledgeable of new developments.
- Provide financial, marketing and sales analysis as required.
- Assist the Development Managers with proforma design, analysis and management.
- Assist the Development Managers with all public project communication, e.g. letters to neighbors, open houses, etc.
- All general administrative duties – typing, photocopying, sending and receiving courier packages, spreadsheet analysis, filing and other duties.
- Organize and maintain all required Development Dept. correspondence in files and binders.
- Make travel arrangements for the department as required.
- Coordinate project meetings.
- Maintain lists of project consultant teams.
- Arrange department meetings, dinners and events.
- Greet clients and guests and provide hostess service to consultants visiting the office, i.e. serving coffee and refreshments in boardroom.
- Ensuring offices and surrounding area in the department is kept clean and tidy.
- Ensure departmental office equipment is maintained and functioning properly.
- Processing department’s outgoing mail at end of day when required.
- Provide administrative assistance to other departments when the need arises.
- Order, receive, and maintain organization of plans, drawings required by the department’s staff.
- Order reproduction copies and sending as per instructions provided.
- Assist the Development Managers in preparing budgets for projects.
- Preparation of monthly expense reports.
- Proofread all printed and digital materials including but not limited to project website and marketing material
- Assist the Development Managers with contract administration and payables.
- Manage the development meeting agendas and ensuring that all updates are completed.
- Switchboard relief when required.
- Stamp and date all billing invoices as related to the development process prior to submittal to Development Team as directed.
- Other duties as assigned within the scope of this position.
Qualifications & Experience
- Education: Post-secondary diploma or degree an asset
- Experience: 2 or more years’ experience working in an office environment with strong administrative skills
- Highly detail oriented
- Ability to handle multiple tasks on multiple projects
- Ability to meet deadlines and cut-offs
- Excellent communication and inter-personal skills
- Ability to prioritize items that are critical
- Computer Skills: Strong working knowledge of Microsoft Office including Word, Excel and Outlook
